Privacy Policy

Pubinator is a production and project-management tool for publications. It is operated by Mainor Media LLC ("we", "us"). This policy explains what information Pubinator collects, how we use it, and the choices you have.

Pubinator is used by publications (newspapers, magazines and similar) to manage their own work. If you use Pubinator as a member of a publication's staff, or as an outside contributor sending files to one, that publication decides what you're asked to do in Pubinator. We process its information on its behalf.

Information we collect

Account information. Your name, email address and password (stored only in hashed form), plus an optional profile photo. If you turn on two-factor authentication, we store the secret needed to check your codes.

Mobile number and text-message consent. If you add a mobile number to your profile and opt in to text messages, we store the number, your opt-in choice and when you made it.

Publication content. The articles, images, files, comments, review rounds and other material you or your colleagues create or upload, along with who created or changed them and when.

Contributor information. When a publication asks an outside contributor for files, we store the contributor's name and email address, their mobile number if the publication provided it, and the files they upload.

Security and usage records. When you sign in, sign out or fail to sign in, we record the time, IP address and browser type. We also keep a record of changes made to issues, articles, media and memberships, and of each AI feature used.

Cookies. We use only the cookies needed to keep you signed in and to protect forms against forgery. We don't use advertising or analytics cookies.

How we use information

  • To provide Pubinator: storing your publications' work, showing it to the right people, and sending the emails and text messages the service relies on, such as invitations, review-round alerts, file requests and messages from your editors.
  • To keep the service secure: detecting suspicious sign-ins, preventing abuse, and investigating problems.
  • To run optional AI features a publication has switched on. When someone asks for an AI suggestion, such as image alt text or article copyediting, the relevant image or text is sent to our AI provider to produce it. A person reviews every suggestion before it is used.
  • To communicate with you about your account and changes to the service.

We don't sell personal information, and we don't use it for advertising.

Text messages (SMS)

We send text messages only to people who have given us a mobile number and agreed to receive texts. That means members who opt in on their profile page, and contributors whose number a publication provides for a file request. Texts are service notifications (for example, a new review round, a message from your publication, or a link to upload files). They are not marketing.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third parties. We share mobile numbers only with the SMS provider that delivers our messages, and only for that purpose.

You can stop texts at any time by replying STOP, or by unticking the text-message option on your profile page. Reply HELP for help. Message and data rates may apply.

Who we share information with

We use service providers to run Pubinator. They process information only on our instructions:

  • Amazon Web Services — file storage
  • Rackspace — storage for archived publication files
  • Mailgun — email delivery
  • Vonage — text-message delivery
  • Anthropic — AI features, only when a publication has switched them on and someone uses them
  • Our hosting and database providers

Other members of a publication can see what you create or upload in that publication. If a publication makes its issue archive public, the published issues in it can be seen by anyone.

We may also disclose information if the law requires it, to protect people's rights or safety, or as part of a sale or merger of the business. In a sale or merger, this policy would continue to apply to your information.

How long we keep information

  • Account information: until you delete your account or a publication removes it.
  • Sign-in records: deleted after 180 days.
  • Publication content: kept for as long as the publication uses Pubinator. Each publication decides when to delete its own content.
  • Backups: may hold deleted information for a limited time.

Your choices and rights

  • Update your profile: change your name, email, mobile number and text-message choice on your profile page at any time.
  • Delete your account: you can do this from your profile page. Content you created in a publication may remain part of that publication's records.
  • Other requests: to ask for a copy of your information, or for it to be corrected or deleted, contact us at the address below. If your request concerns a publication's content, we may refer you to that publication.

Depending on where you live, you may have additional rights under local law. We will honor them as required.

Security

We protect information with encrypted connections, hashed passwords, optional two-factor authentication and access controls. No system is perfectly secure, so please use a strong password and keep it private.

Children

Pubinator is not intended for children under 13, and we don't knowingly collect their information.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date. If the changes are significant, we will also tell account holders by email.
